HCV Conferences CLG trading as HCV2018 is the data controller for the HCV2018 Symposium and its representatives are Dolores Barry and Lucette Murray (all further references herein to HCV shall mean HCV Conferences CLG and its representatives).

HCV is committed to protecting your privacy. HCV’s Privacy Policy states how we will maintain the confidentiality and privacy of the personal information entrusted to us, including information collected on this website, and the choices you can make about how HCV uses the information you provide.  

On May 25th 2018, the General Data Protection Regulation (GDPR), a new Europe-wide data protection regulation comes into effect. This new regulation seeks to strengthen and unify data protection for all individuals living in the European Union and place enhanced accountability and transparency obligations on organisations when using your data. HCV takes privacy and protection of our delegates/supporters data very seriously, and support the enhancements to data protection which GDPR will introduce.

    This policy covers how we handle and protect the personal information we collect from you.

  2. Purposes of Collection of Personal Information

    HCV collects personal information for the following limited purposes:
    1. To facilitate registrations for HCV2018 Symposium, HCV collects the  following information provided by you via our secure website online  registration form:
      • Data to identify you, including your name, email address, nationality, telephone number, institution, job title, country of residence, dietary & mobility requirements.
      • Registration type, confirmation of attendance at social events
      • Payment details provided by you are not visible to HCV, they are processed by the service provider, Stripe UK, in an encrypted manner. You can find their privacy policy here
    2. To facilitate the inclusion of interested parties on HCV2018 promotional material/emails, HCV collects names and email addresses of parties who wish to be kept informed about details of the Symposium.
    3. To respond to queries/requests for information, HCV collects names and emails of parties who request information on the Symposium.

      The above information is stored securely on the HCV2018 website via Lets Host data centres (you can find their privacy policy here) and it is only accessed by HCV for the purposes of the administration of the conference and dealt with in a confidential manner.  
    4. To facilitate abstract submissions for HCV2018 Symposium, HCV collects the following information provided by you via the Abstract Software Provider, Exordo:
      • Data to identify you, including your name and email address and institution. Names and email addresses of your co-authors are also provided and consent for same is requested to be provided.
      • An “Abstract” of your research project.

    HCV accepts full responsibility for the personal information it collects, maintains, and keeps under its control. In order to fulfil this responsibility, HCV has taken steps to ensure that delegates, supporters, and the public at large have a clear understanding of our policies and procedures respecting personal information. These procedures are in place to handle the receipt of, and response to, complaints and inquiries.

  2. Limiting Collection

    HCV restricts the collection of personal information only to that information which is necessary for the limited purposes stated above. We are committed to collecting personal information only by fair and lawful means. 

  3. Limiting Use, Storage and Disclosure

    HCV does not use personal information for purposes other than those for which it was originally collected, unless consent was first given by the person from whom the information was received. Personal information pertaining to delegates, supporters, or anyone on a HCV2018 mailing list is retained for only as long as it is needed and only for the fulfilment of the purposes for which it was originally collected. Retention times are also guided by legislative requirements. The only exception to the foregoing is if we are required to disclose personal information in order to conform to an obligation imposed by law or statute.

    Occasionally we provide links to other websites for your convenience, and information. These sites operate independently from our site and are not under our control. These sites may have their own privacy notices in place, which we strongly suggest you review if you visit any linked websites. HCV is not responsible for the content of these sites, any products or services that may be offered through these sites, or any other use of these sites.

    HCV also provides a link to the Abstract Software Service Provider, ExOrdo for the processing of abstract submissions to HCV2018.  While HCV has retained the services of Exordo, this site is operated independently from our site and is not under our control.   HCV has reviewed and regularly monitors the privacy and security policy of Exordo.  For delegates using the abstract submission system, we also invite you to review their privacy notice.

    You have the right to exercise Your Data protection rights at any time and to request information as to whether and which Personal Data relating to you has been processed by us. You may also arrange for your Personal Data to be corrected, blocked or cancelled at any time in writing, enclosing appropriate proof of your identity, by contacting the following address:
